Three ways to start a meeting
- From Calendar — Add video meeting on an event. The link is written into the event, so the invitations that go out by mail carry it, and the event's attendees are invited.
- From Meet — New meeting. Instant meetings, standing rooms, and whoever you add or holders of the link.
- From chat — only where your administrator allows calls from chat.
Joining
Every join goes through the suite. Opening /meet/<id>, the suite
decides what you may do:
- The owner, and the people the owner names as hosts join as moderator — they may admit from the lobby, mute, remove, and end the meeting.
- Invited users and guests join as member — straight in.
- Anyone else holding the link, when the meeting allows it, joins as visitor — they give a name and wait in the lobby.
Whether the link admits visitors is the owner's choice, per meeting, and can be changed at any time; your administrator's setting is the ceiling. A visitor waits in the lobby — moderators in the call see the knock and admit or refuse. A signed-in person who is not invited goes through the lobby like anyone else, under their own name.
The timeline
The meeting owner sees a full timeline of the meeting, live during the call and afterwards: started and ended, who joined and left and when, who knocked and who admitted or refused them, who was muted or removed and by whom. Only the owner sees it, and everyone joining is told on the join page that the owner sees who joined and when. The owner may save the timeline to their files; unsaved, it is discarded seven days after the meeting ends.
What to know
- A room exists only while someone is in it. There is no meeting state on the media server to lose.
- Tokens are short. What the suite hands the browser names exactly one room, one person and one role, and lives minutes, not forever.
- Meetings are reached with your session, not with an app password: a delegated token opens no meetings, and an app password reaches none.
